Position Purpose
The Front Desk Coordinator serves as the daily steward of the Hope & Home facility and guest experience. This role is responsible for ensuring that every person who walks through our doors or contacts our office experiences warmth, professionalism, helpfulness, and thoughtful care.
As the first point of contact for foster families, state partners, donors, volunteers, and community members, this individual creates a welcoming and warm environment while demonstrating responsibility for building tidiness, hospitality, and donation intake and sorting.
Key Responsibilities
Guest Hospitality Experience
- Serve as the primary point of contact for all visitors and general inquiries.
- Welcome guests warmly and ensure they feel comfortable and prioritized while in our building.
- Maintain accurate visitor logs; send daily report summaries.
- Provide general information about Hope & Home and route inquiries appropriately.
- Ensure visitor check-in procedures are followed and maintain appropriate building access oversight.
- Go above and beyond to help guests even before they reach the door; Ensure they leave feeling well cared for.
Statewide Phone Call Reception
- Answer and direct all incoming phone calls in a professional and timely manner, ensuring appropriate follow-up and follow-through occurs.
- Respond to any voicemails from outside of business hours.
- Maintain accurate call logs; send daily report summaries.
Building Stewardship & Facility Oversight
- Serve as the daily steward of the Hope & Home facility, ensuring the building remains clean, organized, and “tour ready” at all times.
- Maintain front desk area, lobby, meeting rooms, and shared spaces routinely throughout the day.
- Coordinate conference room scheduling and assist with basic meeting room setup and reset as needed.
- Support simple technology setup for meetings or family events as needed.
- Receive, sort, and deliver incoming mail and packages; coordinate outgoing mail.
- Monitor building access and general front-entry security. Work with supervisor on building access as needed.
- Identify and report maintenance needs, coordinate vendor visits with supervisor as appropriate.
- Maintain tidiness and stocking of office and hospitality supplies as needed.
Jericho Java Onsite Coffee Shop
- Oversee presentation and cleanliness of the Jericho Java coffee area.
- Prepare and maintain coffee service during business hours.
- Ensure supplies (cups, creamer, sugar, etc.) are fully stocked.
- Deep clean on a regular basis.
- Assist with hospitality setup for meetings, trainings, and small events (coffee, water, light refreshments).
- Help ensure the physical space reflects warmth and professionalism at all times.
Volunteer Engagement (in coordination with staff)
- Welcome and orient volunteers arriving on site.
- Provide clear instructions and guidance for volunteer tasks when asked to oversee a group/individuals.
- Ensure volunteers have materials and support needed to serve effectively.
- Maintain volunteer sign-in records and documentation.
- Collaborate with staff to identify and support volunteer needs.
Donation Receiving & Sorting
- Receive gift-in-kind donations during office hours and greet donors with appreciation. Offer every donor a receipt.
- Deepen engagement with each donor through meaningful conversation.
- Go above and beyond to help donors unload their cars as needed.
- Maintain consistent donation intake and sorting procedures.
- Ensure donated items are organized and stored appropriately.
- Help manage the clothing donation shed and family exchange items in coordination with appropriate staff.
- Maintain cleanliness and order in donation intake and storage areas.
Administrative Support
- Assist with basic administrative tasks and data entry as needed.
- Depending on applicant strengths, additional responsibilities to complete while at the front desk will be assigned.
- Participate in Hope & Home foster family events and program-related activities as needed.
- Other duties as assigned.

Certifications/Requirements:
- Must be at least 18 years of age, 21 and older preferred
- Must complete CPR and First Aid training (upon hiring)
- Must complete Hope & Home orientation and training (upon hiring)
- Employee will often lift and/or move up to 50 lbs. Full mobility is required.
- Must have reliable transportation.
